In this brief Sage Intacct tutorial video, we’ll show you how to use Smart Rules on transactions to help reduce transaction posting issues. In this example, when a specific vendor is entered on an accounts payable (AP) bill, the company wants the department assigned to that vendor used on other AP field detail lines. To do this, we’ll create a custom field and Smart Rule to automatically add vendor details on AP bills.
Smart Rules in Sage Intacct are important for keeping your accounting data accurate and reliable. They can automatically check for mistakes and enforce rules during data entry, preventing errors, saving time on manual checks, and supporting compliance.
Sage Intacct Smart Rule Key Points
A Sage Intacct Smart Rule is useful because it can help reduce data entry errors and increase consistency in financial transactions. By automating checks and validations, a Smart Rule can:
- Enhance Accuracy: Prevent incorrect data from being posted, reducing the risk of errors in financial records.
- Help Improve Efficiency: Save time by automating validation processes so users can focus on more critical tasks.
- Assist With Compliance: Help maintain compliance with internal policies and external regulations by enforcing specific rules and conditions.
Notably, Sage Intacct Smart Rules are customizable. Users can create custom Smart Rules to fit their specific business needs, allowing for tailored data validation based on unique workflows.
Tutorial Highlights
First, we’ll add a custom picklist field on the vendor record to indicate the specific vendor-required department. Then, we’ll create a new Smart Rule to require that the department be used on other applicable AP field detail lines. Lastly, we’ll test the new custom field and Smart Rule. Watch the video above to learn more about:
- Custom Fields:
- Adding a custom field to a vendor record in Sage Intacct
- Using the custom field to pre-assign departments to vendors
- Setting up the field as a picklist or drop-down list with predefined values
- Making the field visible on the vendor record with the option to mark it as required
- Smart Rules:
- Creating a Smart Rule to enforce that the department assigned on an AP bill matches the preassigned department on the vendor record
- Using the rule to check if the assigned department field is empty or if the department on the bill matches the assigned department
- Then, if the conditions are not met, creating an error message to provide clear information to the system user about what needs to be corrected so the bill can be posted
- Example Implementation Steps:
- Following the steps to add a custom field, assign it to vendors, and create a Smart Rule
- Providing details on setting up the field, defining the rule conditions, and designing an accompanying error message if adjustments are needed
- Showing how to test the rule by posting an AP bill and confirming that the correct department is selected
